Who we are
Poised For Success Learning Academy (“we”) runs this website, poisedforsuccess.net, along with its website assistant, its phone assistant, and its forms. This policy explains what information those collect and what we do with it.
What we collect
Only what you choose to give us. You can read the whole site without giving any personal information, and there are no accounts.
The site itself uses no advertising or analytics cookies. Services built into the page may set their own cookies under their own policies: the Cal.com booking calendar, the Google map, and YouTube videos you choose to play.
Website assistant (chat)
When you ask the Poised Front Desk a question, your question and its answer are sent through OpenRouter to an AI model provider to write the reply. Those providers may keep that text under their own policies.
We keep a log of conversations for 90 days so school staff can check answers and improve them. Phone numbers, email addresses, street addresses and names that follow words like “my name is” are removed automatically before the log is saved. Please don't enter medical, financial, or other sensitive information. The assistant never asks for more than a first name and a child's age range.
Phone assistant
When you call the school, an automated assistant may answer. Calls are recorded and transcribed by our phone service provider, Retell AI, so the assistant can respond and so we can review calls to improve it. Retell AI holds recordings and transcripts under its own privacy policy.
After the call, the school's staff receive an email with a short summary and any callback details or tour you asked for. A copy of those details is kept by our website provider for one year, then deleted automatically. A redacted copy of the conversation is kept for 90 days, like the website chat. If you'd rather talk with a person, ask the assistant for a callback and a director will call you.
Tour bookings
Campus tours are booked through Cal.com, a scheduling service. The details you enter when you book (your name, email, phone, your child's age, and any notes) are held by Cal.com under its own privacy policy, added to the school's calendar, and used only to confirm, reschedule, or follow up on your tour. Cal.com emails you a confirmation, and the school may contact you if a tour has to be moved or cancelled.
Messages and job applications
When you send a message or a preliminary employment application, the information you enter is emailed to the school's owner and director and a copy is kept securely by our website provider for one year, then deleted automatically. We keep it so a request is never lost if an email goes astray, and we use it only to reply to your message or contact you about your application. We send you one confirmation email and do not add you to any mailing list.
How we share information
We do not sell, rent, or trade your information. We share it only with the services that run these features for us: Cloudflare (website hosting and email delivery), Cal.com (tours), Retell AI (phone assistant), and OpenRouter and its AI model providers (chat), and only as much as each needs to do its job.
Children
This site is for parents, guardians, job seekers, and educators. It is not meant for children to use, and we don't knowingly collect information from children through it. Photos of students appear with family permission; to ask for a photo to be removed, contact us.
Your choices
You can ask us to show you, correct, or delete information you've sent us through the site, the chat, or the phone assistant. Email or call us using the details below.
Keeping it safe
The site is served only over an encrypted connection (HTTPS). Stored copies are held by our providers, and only the school and the team that maintains this site can open them.
Changes
If we change this policy, we'll update the date at the top of this page.
